Who we are

UNION Fitness is committed to maintaining the trust and confidence of our clients and visitors to our web site. We are not in the business of selling, renting or trading email lists with other companies and businesses for marketing purposes - we are in the business of doing our best we to make you feel comfortable in using our services and to trust us. We’ve set out in this Privacy Policy lots of detailed information on when and why we collect your personal information, how we use it, the limited conditions under which we may disclose it to others and how we keep it secure. Just so you know, when we refer to "I", "our", "us", or "we" in the policy, we are referring to UNION Fitness (the business). When we use “you", "the user" we are referring to the person(s) using this website.

Types of data we collect

Website Cookies

We use cookies on this website to provide you with a better user experience. We do this by placing a small text file on your device/computer hard drive to track how you use the website, to record or log whether you have seen particular messages that we display, to keep you logged into the website where applicable, to display relevant adverts or content, referred you to a third party website.

We use a cookie control system which allows you to accept the use of cookies, and control which cookies are saved to your device / computer. Some cookies will be saved for specific time periods, where others may last indefinitely. When someone visits union.fitness we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

What happens if I disable cookies?

This depends on which cookies you disable, but in general the website may not operate properly if cookies are switched off. Registration and Mailing Lists

As part of the registration process for our online content, we collect personal information which is used to grant you access to restricted parts of our website and to send you communications, including appointment reminders, newsletters and updates. We may also use this information to contact you if we need to obtain or provide additional information; to check our records are right and to check every now and then that you’re happy and satisfied. We don't rent or trade email lists with other organisations and businesses.

We use a third-party provider, MailChimp, to deliver our newsletter and email updates. Purchasing Data

When you purchase our services, merchandise, membership or gift voucher(s) through tour online shop, your name, address data, email and contact number will be stored in our ecommerce system. Please be assured that we do not share your personal details with any other company without your consent.

We offer you several payment systems to use when completing your purchase - PayPal, Stripe and Square. Each of these companies process your payment details directly and will store information in accordance to their policies. Please see PayPal’s privacy notice, Stripe’s privacy notice or Square’s privacy notice as appropriate.

We will retain your purchasing information (what you purchased and when, how much you paid for it and what your payment method was) for the appropriate length of time in accordance with accountancy requirements.

We collect information about you during the checkout process on our store. While you visit our site, we’ll track:

  • Products you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed
  • Location, IP address and browser type: we’ll use this for purposes like estimating taxes and shipping
  • Shipping address: we’ll ask you to enter this so we can, for instance, estimate shipping before you place an order, and send you the order!

We’ll also use cookies to keep track of cart contents while you’re browsing our site.

When you purchase from us, we’ll ask you to provide information including your name, billing address, shipping address, email address, phone number, credit card/payment details and optional account information like username and password. We’ll use this information for purposes, such as, to:

  • Send you information about your account and order
  • Respond to your requests, including refunds and complaints
  • Process payments and prevent fraud
  • Set up your account for our store
  • Comply with any legal obligations we have, such as calculating taxes
  • Improve our store offerings

If you create an account, we will store your name, address, email and phone number, which will be used to populate the checkout for future orders.

We generally store information about you for as long as we need the information for the purposes for which we collect and use it, and we are not legally required to continue to keep it. For example, we will store order information for six years for tax and accounting purposes. This includes your name, email address and billing and shipping addresses.

We will also store comments or reviews, if you choose to leave them.

Payments

We accept payments through Stripe, Go Cardless, PayPal and Square. When processing payments, some of your data will be passed to these companies, including information required to process or support the payment, such as the purchase total and billing information.

Sponsored links, affiliate tracking & commissions

Our website may contain adverts, sponsored and affiliate links on some pages. These are typically served through our advertising partners: Google Adsense and Amazon Affiliates, or are self served through our own means. We only use trusted advertising partners who each have high standards of user privacy and security. However we do not control the actual adverts seen/displayed by our advertising partners. Our ad partners may collect data and use cookies for ad personalisation and measurement. Where ad preferences are requested as 'non-personalised' cookies may still be used for frequency capping, aggregated ad reporting and to combat fraud and abuse.

Your actions are usually recorded as a referral from our website by this cookie. In most cases we earn a very small commission from the advertiser or advertising partner, at no cost to you, whether you make a purchase on their website or not.

Comments and Contact Forms

When you leave a comment on the site or contact us using a contact form, we collect the data shown in the relevant form you complete and also the your IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Spam prevention

We collect information about visitors who comment on Sites that use our Akismet anti-spam service. The information we collect depends on how the User sets up Akismet for the Site, but typically includes the commenter's IP address, user agent, referrer, and Site URL (along with other information directly provided by the commenter such as their name, username, email address, and the comment itself).

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as you were to visit the other website directly.

Access to your personal information

Under GDPR, the data subject has the right to access and amend any of their personal data that you hold. Make it easy for them by including a name and contact email.

You are entitled to view, amend, or delete the personal information that we hold. Email your request to our data protection officer Spencer Cartwright at admin@union.fitness. You may also request a copy of your data held on the systems we are responsible for. You may also request this is deleted by clicking this link.

How long we keep your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

For purchases, we retain the transactional information for as long as is required by accounting regulations (see above). Other companies involved in the transaction, e.g. Stripe, PayPal or your bank will have their own policies regarding retaining data.

For appointments booked through the system, the information related to the booking is retained until one month after the appointment took place and the appointment has been paid in full.
